Information for Participants

General information

  • There is a strike foreseen in Brussels on May 22 (Monday) which will impact public transportation, including buses, metro, and tram lines. We recommend making alternate plans to arrive at the venue. More information, including updated travel disruptions, can be found on the public transportation website here.
  • As Brussels is a small and walkable city, if possible, we recommend walking to the venue. Taxi services can also be used: we recommend Taxis Verts and Taxis Bleus.
  • We will have a person available at the front desk of the venue to check you in and give you a badge and welcome bag during these hours: 
    Monday: 10:00 - 16:00
    Tuesday: 8:30 - 13:00
    Wednesday: 8:30 - 13:00
    Thursday: 8:30 - 13:00
    If you will arrive at the venue outside these hours, please tell us so that we can make arrangements to receive you.

Presentations

Oral presentations:
Speakers are each given 15 minutes for the presentation, with 5 minutes afterwards for questions. Keynote speakers are given 30 minutes for their presentation, with 10 minutes afterwards for questions.

Please send your slides to us by email 1 week in advance (preferred), or bring them on your USB drive the day of your presentation in two different formats (in case of formatting or compatibility issues). We ask that you please plan to arrive early the day of your presentation so you have time to copy it to our computer.

Poster presentations:
The poster panels are designed for posters of two recommended sizes:
- A0 (84.1 cm x 118.9 cm, or 33.1 inches x 46.8 inches)
- 70 cm x 150 cm (27.6 inches x 59.1 inches)
Please keep in mind that posters are displayed vertically: the longer dimension is the height, and the shorter dimension is the width.

The entrance to the venue building can be found on Rue Ducale (red circle on map). Scientific sessions will be held in the Albert 2 Auditorium, and the coffee breaks, lunches, poster sessions, and ice breaker will be held in the Galerie (Monday, Tuesday, Thursday, and Friday). (Label 1 on map)
On Wednesday, the scientific sessions will be held in the separate side building (label 2 on map), room "de Duve", and lunch in the adjacent Patio.
Please note that there will be no power outlets available at the venue for you to charge your laptop and devices. There will be free WI-FI available to participants.

Mobile data in Belgium

There are several options for foreign travelers to obtain mobile phone data and calls while visiting Belgium.
E-SIM cards: you can order an E-SIM and receive a code and instructions by email to set up your phone.
Physical SIM cards: you can order a physical SIM that will be shipped to your home address before your trip.
Traveler SIM cards can also be purchased at Brussels International Airport upon arrival.
